Adding Tasks

Getting tasks out of your head and into AsyncLife takes seconds. Click New Task (or press N) and start typing.

Every task starts with just a title. Add the rest when you're ready:

  • Due dateSet a deadline so nothing slips through the cracks.
  • PriorityHigh, Medium, or Low. Know what to tackle first.
  • CategoryGroup related work: Work, Personal, Health, whatever fits your life.
  • DescriptionAdd context, links, or notes you'll need later.

Moving Tasks Forward

Tasks flow naturally from start to finish. Five states that match how you actually work, with complete flexibility to move between any status:

Open

New tasks land here. Ready when you are.

In Progress

You're working on it. Focus is here.

Blocked

Waiting on dependencies or stuck on technical issues.

Review

Under review—code review, QA, or stakeholder approval.

Done

Finished. Celebrate the small wins.

Click any task to open it, then change the status from the dropdown. Or drag tasks between columns in Kanban view. You can move tasks freely between any status—no rigid workflows to slow you down.

Breaking Down Big Tasks

Some tasks are really a bunch of smaller steps. Turn any task into a checklist by adding subtasks—each one you complete moves the progress bar forward.

Perfect for things like "Prepare presentation" where you need to research, write, design, and practice.

Attaching Files

Keep everything together. Drag files onto a task or click the attach button. No more hunting through email or cloud folders for that one document.

Supports images, PDFs, documents—whatever you need to get the job done.

Comments & Activity

Every task keeps a full history. Add comments, see what changed, and stay in sync with your team—all in one timeline.

  • Edit historySee previous versions of edited comments—nothing gets lost.

Three Ways to See Your Work

Different tasks, different views. Switch between them based on what you're trying to accomplish:

List View

The classic. Scan everything at once, perfect for quick reviews and bulk updates. Best when you just want to see what's on your plate.

Kanban Board

Visual workflow. Drag cards between columns to move tasks forward. Great for seeing bottlenecks and keeping work flowing.

Calendar View

Time-based planning. See tasks on their due dates. Ideal for scheduling and avoiding deadline conflicts.

Using the Kanban Board

The Kanban board shows all five task statuses as columns. Drag tasks between columns to update their status instantly—no forms, no clicks, just drag and drop.

When to Use Each Status

Open → In Progress

When you start actively working on a task. Move it to In Progress so you (and your team) know it's underway.

Blocked vs In Progress

Use Blocked when you can't make progress due to external dependencies (waiting on someone else), missing information, or technical issues that need to be resolved first. Keep tasks In Progress if you're actively working on them, even if progress is slow.

Review vs Done

Use Review when work is complete but needs validation—code review, QA testing, stakeholder approval, or any other check before considering it finished. Only move to Done when it's truly complete and approved.

Completing Tasks

When a task is Done, it stays visible for 14 days before auto-archiving. This gives you time to reference completed work without cluttering your board forever.

Mobile Navigation

On mobile and tablet devices, swipe left or right to move between columns. The position indicator dots at the bottom show which column you're viewing.

  • Review weeklyTake 10 minutes to clear done tasks and reassess what's left.
  • Link related tasksWorking on something connected? Link them so you don't lose context.
